Hospitality /Snacks Chair Herndon High School Band < Back Previous Next Hospitality /Snacks Chair Shadow Needed Amber Gilson hospitality@herndonband.org I'M INTERESTED Board The Hospitality Coordinator is responsible for planning, coordinating and implementing food events for the Herndon High School Band. It does not include concessions. Works with the volunteer coordinator to obtain volunteers for events. Events include: July - Band Camp August - Pool party and Barbeque September - Showcase of Bands September - Homecoming Barbeque October - Winter Concert Reception December - All District Band rotates every few years (last hosted Feb. 2012) Navy Band Refreshments April - End of Year Banquet May - Annual Meeting Other Responsibilities Include: Attend monthly Band Board Meetings. Solicit food donations from local vendors and band familie Compose flyers, email blasts, etc. Purchase food and supplies Submit receipts to the Treasurer for reimbursement of purchased supplies Maintain inventory of Hospitality supplies Update event procedures for the Hospitality Book Clear communication with the Band Director, Board of Directors, Fundraising Chairperson, various Chairs, and parents is necessary. Communication is through phone contact, personal emails, and written band blasts. Sign Up Genius is used as a means of organizing volunteers via the web. Plans, procures and sells food for Showcase (and possibly other assigned events). A detailed notebook with information from prior years is available, along with expert advice from our past concessions chairs. All volunteers for the day of the event are provided by the volunteer coordinator. This job can be shared with a co-chair. Previous Next

Assistant Treasurer Herndon High School Band < Back Previous Next Assistant Treasurer Mark Hoffman finance@herndonband.org I'M INTERESTED Board The Second Treasurer (also known as the Assistant Treasurer), if any, works cooperatively with the Treasurer in handling HHSBPA finances and shall be bonded through the means of an adequate fidelity bond. In addition, the Second Treasurer shall: 1. Review monthly band, credit card, payment platform (e.g., PayPal, Square, etc.) statements and reconciliations. 2. Collect and record all funds received from HHSBPA activities such as donations, fundraisers, invoices and misc. payments prior to submitting to the Treasurer. This function may be performed by the Treasurer as necessary. 3. Be responsible to hold, maintain, and distribute petty cash and electronic readers to support fundraising and in person payments. 4. Be responsible for tracking and reporting status of petty cash to Treasurer before and after each event. 5. Either submits funds received to the Treasurer for deposit, OR deposits to the bank with supporting documentation submitted to the Treasurer for subsequent recording into financial accounting system. Cash and checks are to be deposited within 1 week of receipt and 1 business day for major fundraisers (e.g., Tag Day, Showcase). 6. Be responsible for maintaining and updating all HHS student account records for band associated activities and communicating student account information to students and parents. In doing so, is responsible for the HHSBPA’s relationship with the HHS Finance office. 7. May serve on the Finance Review Committee for the annual end of year review of Financial Records as detailed in Article X, Section 7. Previous Next

Works with all members of the board to coordinate timely updates to the website content for band events and activities. Responsible for: Website design: Maintaining the website's design, keeping it up-to-date, and configuring new features Website performance: Monitoring website traffic, user behavior, and engagement, and generating reports to analyze and improve performance Website security: Implementing security measures and ensuring the website is secure Website functionality: Testing websites across different platforms, browsers, operating systems, and devices to ensure functionality and efficiency Search engine optimization (SEO): Reviewing SEO to enhance website visibility to include posting relevant information to social media User support: Interacting with users to address technical issues, answer queries, and provide assistance with website usage Content management: Updating website content regularly to keep it looking fresh, to include events, fundraising activities, sponsorships, in memoriam, volunteer names, Pride Route tracking, pictures, videos, blogs Website eCommerce: Maintaining and making available capabilities for purchases through the website Live Streaming: Live streaming program performances to the Pride Cam Training: Training Board and Committee members how to effectively make updates to support their volunteer duties Documentation: Creating and maintaining documentation for effective transition of Webmaster duties over time Seasonal Events: Updating annual events with latest information to include dates, times, descriptions, ticketing, and images R&D: Researches, develops, and implements new ideas to improve the efficiency of the HHSBPA Previous Next

President Herndon High School Band < Back Previous Next President Shadow Needed Kathy Blouch president@herndonband.org I'M INTERESTED Board The President will be the principal executive officer of the HHSBPA with primary authority in all areas and, subject to the Board of Directors, shall: Supervise the management of the HHSBPA in accordance with these bylaws; Preside over all Board of Directors and Association meetings; Provide an agenda for each Board of Directors and Association meeting at least two (2) days in advance of such meeting; Serve as a liaison to the Director of Bands; Serve as the official HHSBPA spokesperson; Monitor all financial accounts and supervise the preparation of the annual budget. Forms Committee Chair Herndon High School Band < Back Previous Next Forms Committee Chair Wendy Cummins forms@herndonband.org I'M INTERESTED Board The Forms Committee Chair is responsible for assisting the Band Director in assembling, distributing and collecting required band forms and maintaining the CHARMS band database. Should be comfortable working with a spreadsheet and performing data entry. The activities for this position occur primarily in the spring, to a much lesser extent in the fall and minimally throughout the year. Assembles Band Packets for all students taking band the next calendar year (including rising ninth graders). Enters student information into the CHARMS band database. Files returned forms. Assists with the collection of required forms that are not turned in by deadlines or are incomplete. Running periodic reports for use by band board/committee chairs and for auditing database. Assist in the development of data entry guidelines for the CHARMS band database. Previous Next
